Board Meeting Notes

MINUTES
June 16, 2008


	A meeting of the PPJAA was held at 8:30 p.m.,  Monday, June 16, 2008 at the Farmingdale Pavilion.
Board Members Present were: 	Don Edwards, Dennis Schmitt, Lynn Kahbeah,   John Price, Chad Tullis, John Green, Kip Leverton, Becky Shown, and Nick Mahoney,
	Don Edwards called the meeting to order.
The first item for discussion was the treasurer’s report.   Cash balance approximately 1784.15 in cash and 6,000 in cd’s.  Everything is paid up to date.  Don asked if all of the sponsorships had been paid.  Kip stated yes.
	The next item on the agenda was the discussion on whether to have a Play Day.  For the past several of years PPJAA has put on a end of the year party to wrap the ball season.  The Board conceded that the tentative date of  the “Play Day” should be, Sunday,  July 13th From 2-4.    Don asked board members whether they should have participation ribbons this year.    John Price suggested doing participation certificates instead of ribbons.  It would be something different and the cost would be minimal.     The board agreed that the certificates should have a blank for the coach to fill in the players name.     It was suggested to put a Cardinal on the certificate. And PPJAA 2008 season.  Don said he would check with Star Graphics and Media on the cost of printing them.
	The grounds keeper is getting ready to spray the field again for weeds.  He has been complaining on the amount of people driving on the grass.  If it continues he will put railroad ties to keep this from happening.  NO ONE HAS PERMISSION TO DRIVE ON THE GRASS UNLESS THEY ARE PICKING UP SUPPLIES OR DELIVERING THEM FOR THE CONCESSIONS.
		The next item of business was the issues regarding rescheduling of games.  Becky said that coaches have been rescheduling their own games and complaining about the procedures she is following regarding rescheduling games.  Don had asked both V.P.’s to fill dates as needed without coach input.   He asked Chad how he normally reschedules games.  Chad stated that he contacts the PPJAA coach and gives them a few optional dates with instructions to let him know ASAP so he can fill the date and have Nick fill the umpire slot.  He said this has been working out and he has had no problems.  Becky said she does not agree and that if you give them options it ends up being too much work on her.    Lynn  stated that she does not appreciate being given a date and not having options available.   Dennis and John Price both agreed that there should be a couple of dates given  and  the PPJAA coach handle contacting other coach, set the date and get back with appropriate V.P.  Becky stated that there are only a few weeks left in the season and we should do things as we have been for now and have a meeting next season to vote on a solution.    Don stated that for  Baseball within a few days of a rainout Fairview  assigns a date.  You are given a date, you take it or forfeit.  He said Softball seems to be more flexible.  Don also stated he hopes coaches are not rescheduling due to the stringent pitching rules or inconvenience.  Don also said next year the coaches will be given a packet with a list of expectations for the coming season.
	The next item of business was the discussion of dirt for the fields.  He stated that he is getting two tandem loads of 70/30 mix to fill in the bad spots on both diamonds.
	John Green stated that he is in need of people to step up to the plate and help out with concessions at the High School.  Don said that coaches that are playing out there need to check the inventory and let him know when items are low.  The High School stand only makes enough money to pay for the umpires.  At Farmingdale when baseball games are held the money intake is much greater than softball.  The board agreed that they would do anything they could to help John out.  He said next year someone needs to  take over the High School stand.  He does not mind purchasing the merchandise but wants someone to be in charge of filling it etc.  Don talked about getting a small freezer to hold some of the extra items so John would not have to make multiple trips for supplies.
	Dennis motioned for adjournment.  Chad seconded the motion.  The motion carried and the PPJAA Board meeting was adjourned at 10:15 pm.
